GENERAL POSITION SUMMARY:
The Administrative Assistant is identified as primarily an office personnel position. The work duties of this position involve high visibility and responsibility with direct contact with the public. The part-time Administrative Assistant works in a fast-paced environment; often making decisions without direct supervision. The position works closely with the Planning, Zoning, and Inspections Departments. This position often requires working directly with other departments within the City of Rhinelander. Discretion and confidentiality are vital in this role. The position is responsible for all duties and assignments noted, and additional duties or requests assigned by the Supervisor.
- Essential Duties and Responsibilities
DISTINGUISHING CHARACTERISTICS:
Administrative Assistant 1 – This is an entry level class in the Administrative Assistant role responsible for clerical and office management duties of a general and specialized nature in support of the assigned department. Work is generally supervised while in progress and/or tends to follow a general pattern or structure. Exceptions or changes in procedures are explained in detail as they arise.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Assist Planning/Zoning/Inspection Office customers with daily inquiries while maintaining a high level of professionalism and customer service.
- Operate and maintain Inspection and License database system, including insurance records.
- Learn, operate and maintain Permit database system.
- Work with SAFEBuilt on various administrative aspects of zoning and residential inspections, including the processing of applications, permits, and the receipt of payments
- Be familiar with Rhinelander City Building Codes and Zoning Ordinances
- Assist Fire and Inspection Department Administrative Assistant with the processing and issuance of permits.
- Prepare and issue monthly billing statements.
- Accept and Receipt payments, make bank deposits, and assist in delinquency collections.
- Assist with entering Fire Inspection data on an as needed basis.
- Perform all general clerical functions of the Inspection Office (mail sorting, filing, copying, answering phones, typing documents, etc.)
- Provide “fill-in” duties to maintain office operations in the absence of other staff, due to planned or unexpected absences.
- Perform any other duties related to the position as assigned by the Supervisor.
- Qualifications
Prior customer service and clerical experience is preferred; must type a minimum of 60 WPM; will assist with the duties and requirements of the full-time Inspection Department Secretary; proficient with Microsoft Office applications; knowledge of accounts receivable & accounts payable; work in a fast-paced environment.
This position will be entitled to all benefits available to part-time City employees as set forth in the Employee Handbook. Schedule will be 28 hrs/week, Monday – Friday, with scheduling adjustments where necessary to achieve Planning/Zoning/Inspection Office objectives.
